1. Who we are
Elite Cell Source, LLC (“Elite Cell Source”, “we”, “us”) operates a business-to-business provider platform for licensed healthcare providers and approved wellness clinics. This policy describes how we collect, use, and protect information on this website and within the provider portal.
2. Information we collect
Provider and practice information: names, credentials (such as NPI and state license details), clinic contact information, and documents submitted during registration and verification.
Patient information: limited information submitted by verified providers solely as required to process patient-specific orders and route them for fulfillment. We collect only what is necessary for that purpose — this platform is not an electronic health record.
Technical information: log data, device and browser information, and similar data needed to operate and secure the service.
3. How we use information
To verify provider eligibility, operate the ordering and fulfillment workflow, process payments, communicate with your practice, and meet legal and compliance obligations.
We do not sell personal information. We do not share patient information with payment processors. Information is shared with fulfillment partners only as required to complete an order placed by a verified provider.
4. Patient information and HIPAA
Elite Cell Source is not a healthcare provider, a health plan, or a healthcare clearinghouse, and it does not have a relationship with any patient. Patient information reaches this platform only because a verified provider submits it in order to place and fulfill an order for that provider’s own patient. Where that information is protected health information under HIPAA, the ordering provider is the covered entity and Elite Cell Source is handling the information on that provider’s behalf.
Our Provider Agreement states that where a Business Associate Agreement is required, it is to be executed before Elite Cell Source creates, receives, maintains, transmits, or accesses that information on a provider’s behalf. Providers who need a Business Associate Agreement in place, or who want to confirm the status of one, should contact us at info@elitecellsource.com.
We use patient information only to process, route, and fulfill the order it was submitted for, to support the provider on that order, and to keep the records we are required to keep. We do not sell it, we do not use it for advertising or marketing, and we do not share it with payment processors. It is disclosed to a fulfillment pharmacy only to the extent that pharmacy needs it to dispense and ship the order.
This platform is not an electronic health record and this section is not a Notice of Privacy Practices. A Notice of Privacy Practices is issued by your healthcare provider. A patient who wants to see, correct, or ask a question about their information should contact the provider who ordered for them, because that provider holds the record. Where a provider asks us to correct or remove patient information they submitted, we will act on that request, subject to records we are required by law to retain.
If we become aware of a breach of unsecured patient information affecting a provider’s records, we will notify that provider without unreasonable delay so the provider can meet its own notification obligations.
5. Safeguards
Access to the portal is restricted by role and verification status. Data is encrypted in transit, sensitive credentials are encrypted at rest, and account activity on protected records is logged.
6. Retention and your choices
We retain records as required for legal, regulatory, and operational purposes. Providers may contact us to review or update their account information, or to request closure of their account, subject to records we are required to keep.
